Job Summary

At Crowned Counseling, the Program Assistant will be responsible for performing administrative clerical tasks within the office that support the day-to-day practice operations. These tasks include, but are not limited to, answering and returning client calls, creating and entering information into client charts, contacting therapists to schedule clients, keeping copies of intakes and other forms available for therapists and clients, and assisting with practice billing needs.

Responsibilities and Duties

  • Answering and returning client phone calls or emails
  • Accepting new client referrals
  • Entering new client information into agency system
  • Contacting therapists to schedule clients
  • Keeping information up-to-date in client and employee files
  • Review client files to ensure paperwork completion before first session
  • Ensuring that necessary forms are available to clients and therapist
  • Keep therapists updated on clients if they call or text they are lost, will be late or cancel
  • Assisting with practice billing needs
  • Note: This list encompasses the main duties and responsibilities for the Program Assistant position. However, this is not an exhaustive list of position responsibilities. Program Assistants may be assigned additional duties as needed.

Qualifications and Skills

  • Qualified candidates must possess a high school diploma at minimum. Previous administrative experience is preferred but not required.
  • Preferred skills include:

    • Knowledge of Google and Microsoft Suite Software
    • Knowledge of Medicaid and private insurance billing procedures

Salary & Benefits

The starting salary for this position is $14 per hour. Pay rate is dependent upon experience and level of education.

We encounter clients with a wide range of clinical disorders, ranging from, but not limited to depression, anxiety, bi-polar and complex trauma. Students are expected to fully participate in supervision with our licensed clinicians to receive the guidance, training, and support necessary to provide quality care to those we serve. We use only evidence-based practices in our clinic and our students are expected to learn and implement these practices.
